Job Description

Summary

The position of Postal Coordinator I ensures all mail leaves the facility in an accurate and timely manner while adhering to all company policies, procedures and safety regulations.

Essential Duties and Responsibilities

  • Generates and monitors daily schedule to ensure all scheduled jobs mail each day
  • Monitors Shopboard system to identify changes in Postage Forecast Report for current day
  • Imports all maildat files into Monticello to prepare for Postal One uploading
  • Contacts Lettershop Coordinator about any job that is missing or has incorrect information within maildat file
  • Uploads all maildat files into Postal One and corrects any files that fail the uploading process
  • Prints a pdf of the Postal One “dashboard” to present to the USPS postal clerk daily
  • Counts and records all stamp usage
  • Replenishes stamp and meter inventory when necessary
  • Generates reports for accounting to monitor stamp, meter and co-mingler daily postage usage
  • Closes open jobs in meters as needed.
  • Collaborates closely with USPS BSN to investigate any postal issues that arise
  • Tracks history of previous mailings upon request of Account Managers by accessing MailTrail for postal scans which tracks location of the mail
  • Produces a follow up report to the 2pm daily production report to identify all jobs left in production that are to mail that day
  • Prepares and approves daily PMOD vs ALG analysis
  • Create/purchase daily PMOD labels
  • Generates all necessary purchase orders for outgoing mail(ALG, co- mingler)
  • Reports all daily drop ship information to ALG in order to receive quotes to forward on to the account teams
  • Sends daily counts to co-minlger/account teams
  • Ensures we are in compliance with all USPS regulations
  • Maintains a clean and orderly work area
  • Qualifications

    Education and/or Experience

    High school diploma or general education degree (GED). Requires 0-3 years of related experience in a fast paced production environment.

    Language Skills

    Ability to read, analyzes, and interprets procedure manuals, government regulations, simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information and respond to questions from groups of managers, and internal customers.

    Mathematical Skills

    Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

    Reasoning Ability
